An industrial equipment sourcing checklist

Organise product details, quantities, scope and delivery requirements before requesting quotations.

A sourcing request should make it clear what is required and what still needs confirmation. This is especially useful when a buyer has a part number, an older drawing or an equipment description that may be incomplete.

Build the request around identification, application, supply scope and delivery. Keep each part of the brief easy to check.

Identify the item

Record the equipment or component name, manufacturer if known, model and part number. Include drawing references and revision details where available. State whether the request is for an exact replacement or whether an alternative may be discussed.

For an alternative, explain which information must be reviewed before it can be accepted. A similar product name alone does not establish that the proposed item meets your requirement.

Describe the application

Explain where the item will be used and the equipment it connects to. Include available operating information and any known dimensional or interface requirements.

If the request is based on an existing installation, distinguish confirmed measurements from information copied from older documents. Highlight any details that need checking before an order is placed.

Define the quotation scope

  • Required quantity and units.
  • Equipment, components and accessories to be included.
  • Documents or drawings needed for review.
  • Installation or commissioning support to be discussed.
  • Items that are supplied by others.

Use the same scope when discussing different offers. Record exclusions and unanswered questions alongside the quoted item rather than treating them as separate notes.

Make delivery expectations explicit

Share the delivery location and the date you are working towards. Clarify whether that date is a planning target or a confirmed project requirement. Ask for availability and delivery assumptions to be stated in the quotation.

Close the request with a named business contact who can answer technical and commercial questions. Before proceeding, review the agreed specification, scope, delivery details and terms together.

The purpose of the checklist is to organise the conversation. Product suitability, availability and final supply terms still need to be confirmed for the specific requirement.
